In-district usage

The Vail Theatre of the Arts is available for use on Monday through Thursday nights for Vail Unified School District student performances, graduations, awards ceremonies, and other events subject to the approval of the Performing Arts Theatre Director. There is no charge for curriculum-related events scheduled on Monday through Thursday nights. Requests resulting in additional expense to the theatre such as piano-tuning before a specific performance or custodial/theatre tech labor for weekend usage will be billed to the school making the request.

Requests are accepted beginning the first school day of the calendar year for the following school year (for example starting January 8, 2018, for the 2018-2019 school year.) Please check our online calendar first to ensure that your desired date is available. Once you have verified that your date is available, email Richard at talleyr@vailschooldistrict.org to ask to put a hold on the date. Next download and complete the Theatre Use Request which is available at VTOTA Theatre Use Request. You may send your request via interoffice mail to Richard Talley at VTOTA or email it to him, but please do not fax it. Please submit a separate request for each production (a same day rehearsal and evening performance are considered a single production, but December and May performances are considered two separate productions.

To address parent concerns over having to choose between conflicting performances, we have instituted a policy for scheduling school performances on specific days of the week which are:

  • Elementary schools – Tuesdays and Wednesdays
  • Middle schools – Thursdays
  • High schools – Mondays

Requests for non-conforming days  will be considered within two weeks of the requested usage.

Teachers are responsible for arranging transportation for students to attend rehearsals, and you need to arrange for one parent or teacher volunteer for each 10 K-8 students or each 15 high school students. Volunteers are responsible for monitoring students during the rehearsals and for directing students and parents before the performance, ensuring that people don’t bring food, drink (except for bottled water) or gum into the theatre, and for picking up trash and turning in lost items after the performance.
